What is Programmio?

Programmio is an Australian app that gives a club, school program or community group its own branded app, in your own name, logo and colours, on your members' phones. It is built around people, their roles and credentials, the sessions they turn up to, and the equipment and facilities they use, so it runs the whole operation, not just a membership list. Everything the club runs on sits in the one place: who's coming, who's in what, what's fit to use, and the paperwork that has to stay current.

How much does Programmio cost?

It is $33 a month for the whole club, GST included, which is $396 for the year. For a 50 member club, that is less than $8 per member per year, and it only gets better as you grow, because we never charge per member. There is no setup fee and no tiers, so the price is the same whether you have twenty members or two hundred. The first month is free, and there is no lock-in.

Is it really our own app, or just a login to yours?

It is yours. Your colours, your logo and your own address, so it is the club's app, not a generic one everyone else also uses. That is what gets members using it, and once they do it becomes the one place the whole club runs, not just another login they ignore.

Do members have to download it from the App Store or Play Store?

No. Programmio runs on any phone, tablet or computer straight from the web, and members add it to their home screen in about a minute. There is nothing to download from an app store and nothing for anyone's IT department to package.

How do members join?

They sign up with your club's join code, and an admin approves them before they are in. You stay in control of who has access, and for juniors, every parent or carer link is approved before it takes effect.

We run more than one program. Does it handle that?

Each program gets its own app, kept clean and separate, so one program's equipment, risk register and compliance never get muddled with another's. Families still sign in once and reach every program their children are in.

I belong to more than one club. Do I need a separate login for each?

No. One login is all you ever need, even across completely separate organisations. Sign in once and you reach every club or school you belong to, each with its own branding and its own private information, and your role is set separately in each: a parent at one, a coach at another, an administrator at a third, all from the one account.

Is there advertising in it?

No. There is no advertising, and nothing sold in front of your members or your young players. You pay one simple fee and that is the whole arrangement.

Does it replace our membership or payments system?

No, and it does not try to. Programmio is the operational side of the club: sessions, people, equipment, compliance and communication. It does not take membership fees or event payments, so it sits happily alongside whatever you use for that, like RevSport or a registration system. It is the place members go for club life, not the place they pay.

What happens to our data if we ever leave?

It is yours, and it leaves with you. Your member register, asset register and incident history all export on the way out. There is no lock-in and nothing held hostage.

Who built Programmio, and will it still be here in a few years?

Programmio is built and run by the developer behind the Rowing Tasmania Community Hub, the platform the state association uses to coordinate its clubs, schools and volunteers. It is hosted in Australia and backed up nightly, and your data is portable, so you are never stuck.

Can Programmio track our equipment and assets?

Yes. Every piece the club owns goes on one register with a value on each: playing and training equipment, uniforms and kit, boats and oars, tools, first aid supplies, whatever you have. Members' own equipment can go on too where you list it. Each item shows what it is, what it is worth and whether it is fit to use, and the whole list exports for your insurer, current to that morning. It is an asset register and a maintenance log, not accounting software.

Can it manage our club rooms, facilities and grounds?

Yes, as the things you look after and keep in working order. Club rooms and the clubhouse, sheds and grounds, the canteen and bar, keys and access all sit on the same register with their servicing and any repairs due. Someone can report a broken door, a mower that will not start or a leak the moment they find it, with a photo, and it becomes a job with a name and a date. It tracks and maintains your facilities; it is not a room or court booking system.

Can it handle trailers, vehicles and towing?

Yes. Trailers, the club's vehicles and anything towed go on the register with registration and servicing dates flagged before they lapse, so nothing heads off to an away game or a regatta out of registration or overdue for a service.

How is damage and repairs handled?

Anyone with the app can report damage on the spot, with a photo, from wherever they are standing. It goes into a maintenance log to be worked through, and anything unsafe is flagged as out of service so nobody rigs it, drives it or plays with it by mistake. Nothing gets found broken on the morning it is needed.

What if something breaks before the day it's needed?

You find out in time. If a boat, an instrument or any resource is booked for a coming session and it then gets flagged with a problem, the person who scheduled it is notified straight away. A crack logged on Tuesday reaches the coach, or the musical director planning Friday's opening night, while there is still time to fix it or plan around it. Equipment can also sit between fine and unusable, in service, in service with an issue, or out of action, so useful gear stays useful while the risk is visible to whoever picks it up.

Can members borrow or hire club equipment?

Yes. Lend a boat, a set of kit or any equipment to a member, a family or another club, and it is logged, so you always know who has what out and when it is due back.

Can Programmio handle our compliance and Working with Children Checks?

Yes. Credentials like Working with Vulnerable People or Working with Children Checks, coaching accreditation and first aid are held against each person and flagged before they lapse, so you can see at a glance who is cleared to coach. Incidents can be recorded at the time by whoever was there, and kept properly, so there is a record if it is ever needed.

Does it work for juniors and their parents?

Yes, and it is one of the things we have built most carefully. A parent can run it for a young child, registered in the child's name so the coach knows who is who, or stand alongside an older member who has their own account. Either way the parent can say running late or can't make it, but the yes or no starts with the member.

Who is allowed access, and can we remove someone?

Access is approved, never automatic. A member joins with the club's code, but an admin approves them before they are in, and signs off every parent or carer link before it takes effect. A member can be removed, and if they try to sign back up, an admin is alerted to review before they are let back in.

Where is our data stored?

In Australia. Your club's information is hosted in Sydney, not sent offshore, which matters for a club or school holding members' and children's details.

Is Programmio secure?

Yes. Data is encrypted in transit and at rest, access is limited to approved accounts, and each club's information is kept separate from every other club's. People only see what their role allows. Anyone who can see other people's sensitive information, administrators, and anyone who can view incident and safeguarding records, manage documents or view settings, must also use two step sign in, so a password on its own is never enough to reach those records.

Who can see our members' information?

Your club's admins and coaches, at the level you set, and nobody from another club. We do not sell your data, we do not share it, and there is no advertising, so your members' details are never used to target them.

Is it privacy compliant?

We handle personal information in line with the Australian Privacy Principles, and our privacy policy sets out exactly what we collect, why, and what we do not. You can export or remove your data at any time.

What about children's and juniors' data?

We keep it to a minimum, only what is needed to run the program. Parent and carer links are approved by an admin before they take effect, photos are optional and kept small, and no advertising is ever shown to your young members.

Which clubs and sports it works for

Programmio started in rowing, but it runs the things every club has in common, so it works across sport and beyond. Here is the honest picture for a few.

Can Programmio run a rowing club or school rowing program?

Yes, it is where we started. Sessions and crews, who's on the water, the fleet and its servicing, regatta and working-bee sign-ups, and the parent and student side, all in your colours. It manages the club; it is not race-timing or results software.

Can Programmio run an equestrian or pony club?

Yes, for running the club: members and coaching, rallies and clinics, grounds and equipment like jumps, poles and arena markers, and coach credentials and affiliations. It is general club software, so it does not keep equine records like farrier, vaccination, worming or breeding, and it does not run arena bookings.

Can Programmio run a football, AFL or soccer club?

Yes, for the club side: squads and training, who is turning up, uniforms and equipment, ground and facility maintenance, and coach and volunteer compliance. It runs the club, not match statistics, GPS tracking or video analysis.

Can Programmio run a netball club?

Yes: teams and training, attendance, bibs and equipment, and keeping players and parents in the loop, all in your club's colours. It handles the club, not scoring, ladders or game statistics.

Can Programmio run a cricket club?

Yes, for members, training, equipment and compliance, and clear communication with players and families. It is club-management software, not a scorebook or a batting-and-bowling averages system.

Can Programmio run a hockey or sailing club?

Yes, for the club: members, sessions and duties, boats or equipment on a register with servicing and lending, and credentials kept current. It manages the club and its equipment, not race results or handicap scoring.

Can Programmio run a surf life saving club?

Yes, for members, training sessions, equipment and gear, and volunteer credentials and communication. It runs the club side; it is not the national awards or patrol-hours system.

Can Programmio run an athletics or little athletics club?

Yes: members and sessions, who's coming, equipment, and coach and official compliance, with parents and juniors built in. It runs the club, not meet management, results or personal-best tracking.

Can Programmio run school sport or a multi-program school?

Yes. Each program, from the crew to the concert band, gets its own app in the school's logo and colours, with its own clean equipment, risk and compliance. Parents and students are built in, access is approved by an admin, and families sign in once across every program.

What about a club or group that isn't on this list?
